Executive Coordinator
The Role
We are looking for a driven and service-minded Executive Coordinator to work directly with our CEO.
This role exists to drive operational alignment across the CEO's full portfolio of companies spanning digital marketing, artist management, consumer brands and investments.
You will report directly to the CEO and serve as his primary operational support, with day-to-day responsibility for keeping his world running at pace. The role spans both professional and personal coordination, and requires someone who can move fluidly between the two without losing focus or precision.
This role is Stockholm based. A remote assistant handles the digital layer. You own everything on the ground and the handover between the two.
What You'll Do
The list below describes the core responsibilities. In practice the role is broader and shifts week to week, what's in front of the CEO changes and the role flexes with it.
Calendar & Time Management Own and manage the CEO's calendar across all businesses and personal commitments. You'll design the day to reflect shifting priorities, protect focus time and ensure every transition is accounted for.
Daily Briefing Prepare and deliver a structured morning briefing before the first meeting of the day, covering the schedule, decisions required, overnight updates and approaching deadlines. This is your most critical daily output.
Communication Triage and structure inbound communication across email, WhatsApp and Slack. Prioritize ruthlessly. Present information in a consistent format, decision first, context second, recommendation included. Never pass something on without adding value to it.
Travel & Logistics Own all travel end to end, such as flights, hotels, ground transport, visas and packing when needed. Anticipate preferences, stay ahead of changes and ensure every trip is prepared before it starts.
Financial Administration Handle expense reconciliation, receipts, invoices and credit cards. Ensure nothing is overdue. Know upcoming payment dates at least a week in advance and coordinate with external accounting and finance contacts.
Personal Coordination Manage appointments, deliveries, household logistics and recurring errands. Maintain vendor relationships. Anticipate needs before they are raised.
Operational Improvement Spot friction in how things run and fix it. Build better systems, improve handovers and take initiative without waiting to be asked.

A proactive, ownership-driven mindset. You act before issues arise and follow through without being chased.
Experience supporting a senior leader with a high workload and multiple priorities running simultaneously.
Experienced in using various AI tools.
Deep attention to detail and a genuine love of structure and service.
Strong communication skills, with confidence handling sensitive and high-stakes information.
High discretion and sound judgment. You know what to escalate, what to handle and what to let go.
Comfort across tools like Google Workspace, Slack and WhatsApp, with the ability to pick up new systems quickly.
A genuine drive to support others and take pride in work that happens behind the scenes.
Fluent in English and Swedish.
